AI for Nonprofits
Do more for your mission with Microsoft Copilot. Stop waiting and start today.
AI isn’t something that’s coming someday. It’s already helping nonprofits write grant drafts, thank donors, summarize meetings, and find information faster. NP Cloud helps you pick the right Copilot option at nonprofit pricing. Setup and staff training are available and quoted up front.
Many nonprofits are still sitting on the sidelines, waiting for the “right time” to try AI. Our advice is simple: stop waiting. The organizations getting the most from AI aren’t the ones spending the most money. They’re the ones learning to use the tools they already have, one small habit at a time. The goal isn’t perfection. It’s getting comfortable working alongside AI.
What Copilot can do for your nonprofit
- Grant drafts: turn your notes and program details into a first draft of a grant narrative, then rewrite it to fit each funder’s guidelines.
- Donor thank-you letters: write warm, personal thank-you notes in minutes, in your own voice.
- Meeting notes in Teams: get a summary of board and staff meetings, with decisions and action items, so no one has to scramble for notes.
- Summarizing email: catch up on a long email thread in seconds and draft a reply faster.
- Newsletters: brainstorm story ideas, draft articles, and rewrite content for your newsletter, website, or social posts.
- Volunteer schedules: organize sign-ups, draft shift reminders, and put together schedules and instructions for volunteers.
- Excel reports: ask questions about your spreadsheets, spot trends, and build the charts you need for board and funder reports.
- Finding information: ask “Where is the latest board report?” or “What is our reimbursement policy?” instead of digging through folders.
Copilot gives you a strong first draft. A person on your team should always review it before it goes to a donor, funder, or the public.
A simple path: three steps
1. Start with Copilot Chat
If you have Microsoft 365, your team may already have Copilot Chat. Start there: draft emails, summarize documents, brainstorm ideas, and build the habit before you worry about extra licenses.
2. Add Microsoft 365 Copilot
When the timing makes sense, add Copilot for the people who will use it most. It works inside Outlook, Teams, Word, Excel, and PowerPoint, with your own email, meetings, and files, so people spend less time searching and more time on the mission.
3. Build custom agents
Next comes agents that know how your organization works: your policies, procedures, programs, and documents. Staff and volunteers just ask a question and get an answer.
How NP Cloud helps (guidance included; setup, training, and custom agents quoted up front)
- The right license at nonprofit pricing: we help you decide who needs Copilot Chat, who needs a paid Copilot license, and who doesn’t, so you only pay for what you’ll use. With our vast experience with vendors and distributors, we help you get nonprofit pricing on everything from hardware to cloud services.
- Setup and security: before AI goes live, we review who can see which files, tighten sharing settings, and turn on multi-factor authentication (MFA), so Copilot only shows people what they’re already allowed to see.
- Data privacy: we make sure staff sign in with their work accounts, not personal AI apps, so donor and client information stays inside your Microsoft 365 and is protected.
- Training for staff and volunteers: plain-English, hands-on sessions built around real nonprofit tasks like grant writing, donor letters, and meeting notes.
- Responsible use guidelines: a simple AI policy for your team: what’s OK to put into AI, what isn’t, and why a person always reviews the result.

Frequently asked questions
Is our data safe?
When your team signs in with their Microsoft 365 work accounts, Microsoft says Copilot and Copilot Chat include enterprise data protection, and your prompts and responses aren’t used to train its AI models. Copilot also follows your existing permissions, so it only shows people what they can already access. That’s why we review your sharing and security settings first. The other big step is making sure staff don’t paste donor or client information into free personal AI apps, which our guidelines cover.
Do we need Microsoft 365?
For Microsoft’s work versions of Copilot, yes. Copilot Chat is included with Microsoft 365 work accounts, and the paid Copilot license is an add-on to a qualifying Microsoft 365 plan. If you’re not on Microsoft 365 yet, we can quote your move. Learn about Microsoft 365 for Nonprofits.
What does it cost?
Copilot Chat is included with Microsoft 365 at no extra charge. Microsoft also offers its paid Copilot license to eligible nonprofits at a discount. Microsoft sets that price and can change it, so ask us for current pricing. Many nonprofits only need paid licenses for a few people. Guidance on choosing comes with your membership. For setup, training, or custom agents, ask us and we’ll quote it up front.
Do volunteers need training?
A little training goes a long way. Anyone using AI with your organization’s information should know the basics: what’s OK to share, how to write a good request, and why a person should check the result. We keep it short, practical, and in plain English.
Will AI replace our staff?
No. Copilot is an assistant. It handles first drafts, summaries, and searching so your people can spend more time with donors, volunteers, and the communities you serve. A person stays in charge of every decision.
We’re not sure where to start. Can you help?
Yes. Start small: pick one or two tasks that take your team the most time, and we’ll show you how Copilot can help with them. Call 215-668-4005 and we’ll talk it through.
The nonprofits that start today will be ahead tomorrow.
The biggest risk isn’t moving too fast with AI. It’s waiting too long. Become a member, or call NP Cloud at 215-668-4005. We’re happy to answer questions first.
