Privacy Policy
Last updated: October 23, 2026
NonProfit Pricing (nonprofit-pricing.com) is a membership site powered by NP Cloud. This page explains, in plain English, what information we collect, why we collect it, who helps us handle it, and how you can reach us about it.
What we collect
- Form details. When you use our contact form, Microsoft 365 request form, NP Cloud RMM request form, or Social Media Marketing Kit sign-up form, we collect your name, organization, email address, and your question or request.
- Your email preference. Our forms include an optional checkbox to receive occasional NP Cloud updates for nonprofits. We record whether you checked it.
- Membership account details. When you become a member, we collect your name, email address, username, password (stored in encrypted form), the plan you chose, and your subscription and payment status.
- Files and approvals in the client area. Clients who review marketing materials in our private, login-only area may view, comment on, and approve those materials. We keep a record of those approvals.
- Technical information. Like most websites, our servers and security tools automatically record basic information such as your IP address, browser type, pages visited, and the date and time of your visit.
Why we collect it
- To answer your questions and respond to your requests.
- To set up and manage your membership, process payments, and provide the services you signed up for.
- To send account emails you need, such as sign-up confirmations, receipts, password resets, and replies to your requests.
- To send occasional NP Cloud updates for nonprofits, only if you opted in.
- To keep the site secure, prevent spam and abuse, and understand how the site is used so we can improve it.
Payments
Membership payments are processed by Stripe or PayPal, depending on which you choose at checkout. Your payment details are entered into and handled by Stripe or PayPal, not by us. We do not see or store your full card number. We receive only limited information from them, such as your name, email, the last four digits and type of your card, and whether a payment succeeded. You can read their privacy policies at stripe.com/privacy and paypal.com/privacy.
Email updates
We only send occasional NP Cloud updates for nonprofits if you check the opt-in box on one of our forms. You can unsubscribe at any time by using the unsubscribe link in any update email or by emailing us at [email protected]. Unsubscribing from updates does not affect emails needed to run your account, such as receipts and password resets.
Cookies
Cookies are small files stored by your browser. We use them for:
- Login and session. To keep you signed in to your member account and the client area.
- Security. Our security tools (Wordfence and Cloudflare) and spam protection on our forms may set cookies or check your browser to block attacks, bots, and spam.
- Performance. Our caching tools (LiteSpeed Cache and Cloudflare) help pages load quickly.
- Site statistics. We use Google Analytics and Jetpack Stats to see, in general terms, how visitors use the site, such as which pages are popular.
You can block or delete cookies in your browser settings. If you block login cookies, you will not be able to sign in.
Services that help us run the site
We share information only with service providers that help us operate the site, and only as needed for them to do that work:
- Stripe, for payment processing.
- PayPal, for payment processing.
- Hostinger, which hosts our website and its database.
- Titan Email (provided through Hostinger), which delivers the emails our site sends and our replies to you.
- Cloudflare, which protects the site from attacks and helps it load faster. Your visits pass through Cloudflare’s network.
- Google (Google Analytics) and Automattic (Jetpack Stats), for site statistics.
We may also disclose information if required by law or to protect the safety and security of the site and its users.
We do not sell your data
We do not sell, rent, or trade your personal information to anyone.
How long we keep it
- Form messages are kept as long as needed to respond to you and follow up on your request, and then deleted when no longer needed.
- Member account details are kept while your membership is active. If you cancel, we may keep basic records for a period afterward.
- Payment and billing records are kept as long as required for tax and accounting purposes.
- Email opt-ins are kept until you unsubscribe. After you unsubscribe, we keep only what is needed to make sure we do not email you again.
- Security logs are kept for a limited time and then removed automatically.
Keeping your information safe
We use an encrypted (HTTPS) connection across the site, security monitoring, firewall protection, and login-only access for member and client areas. No website can be perfectly secure, but we work to protect your information.
Your choices and requests
You can ask us to show you the personal information we hold about you, correct it, or delete it. You can also update some account details yourself after logging in. We will respond to requests within a reasonable time. Some information may need to be kept for legal or accounting reasons.
Children
This site is intended for organizations and adults. We do not knowingly collect information from children under 13.
Changes to this policy
If we change this policy, we will post the updated version on this page and change the “Last updated” date above.

Membership sign-up, proof of nonprofit status and the policy generator
What we collect when you join
- Your organization details: organization name and type, number of staff, the email and files platform you use, and whether you have volunteers, a board or donors, or serve clients or members. We use these to set up your membership, to understand how we can help, and to fill in the policy generator for you.
- Proof of nonprofit status (nonprofit plans only): the document you upload, such as an IRS determination letter.
- Account and payment details: your name, email address and plan. Payments are handled by Stripe or PayPal. We never see or store your full card number.
How we look after proof documents
- The file is stored in private storage on our web server, outside the public part of the website, under a random file name. It cannot be opened from a web link.
- Only NP Cloud site administrators can view or download it, after signing in. When a new document arrives, we receive an email with a link to the review screen. The document itself is never emailed.
- We use it only to check that your organization qualifies for nonprofit rates, and we record the result (pending, verified or rejected).
- We keep it while you are a member, so we can show why you receive nonprofit rates. After you leave, we delete it when you ask us to. You can ask us to delete it at any time; we may then ask for fresh proof to keep the nonprofit rate. If you upload a file but do not finish signing up, the file is deleted automatically within a few days.
The policy generator
- We save the answers you give in the intake questionnaire and the drafts it produces, so you can come back, update them and regenerate them. Each draft keeps a short revision history: date, your name and what changed.
- Before each download, we record that you confirmed the drafts are templates and not legal advice, with the date and time.
- We use your next review date to email you a reminder about 30 days before it, with a copy to NP Cloud.
- Your answers and drafts are visible only to you and to NP Cloud site administrators.
Emails from us
When you join, we send a welcome email from Brian McCoy at NP Cloud. We also send policy review reminders and messages about your account. As a member, NP Cloud may also contact you about related services, such as Microsoft 365, cloud services or IT support. You can ask us to stop these at any time by replying to any email or writing to [email protected].
Your choices
You can see and update your organization details from your account, or ask us to correct or delete them. If you ask us to delete your account, we will remove your answers, drafts and proof documents, except where we must keep records, such as payment records, for legal or accounting reasons. We do not sell your information.
